Cancellation & Refund Policy

 

We know travel plans can change, and while we’re always excited to host you, we’ve created a transparent cancellation policy to ensure fairness for everyone—our travelers, our team, and our local partners. Please read the following terms carefully before booking your trip.

 

General Rule

● The booking amount is strictly non-refundable.
● Refunds are processed only on the remaining amount paid, after deducting the booking amount and applicable charges.
● Cancellations must be made via email only to be considered valid

 

 

1. For Short Duration / Weekend Trips (Trips for 3 Days and less)


Refund of the total trip amount (excluding non-refundable booking amount) will be processed
as per the following deductions:

Rules Applicable for Cancellations/Changes by the Participant

 

1. How to Cancel or Modify


All cancellations or change requests must be sent via email to accounts@bykojourneys.com. Requests via phone calls, WhatsApp, or Instagram DMs will not be accepted. Please reply to your booking confirmation email for faster processing. 

 

2. Participant Replacement 


You may replace a traveler in your booking (except airline/rail bookings) if:

● Your booking is fully paid
● The trip departs in 7 or more days
● No flight/train/Volvo tickets are booked for that individual

Note: Transport bookings (Volvo/Train/Flight) are non-transferable and non-refundable. 

 

3. Refund Method


Upon confirmation of cancellation, a travel credit voucher will be issued via email within 2 working days.
This credit is valid for 1 year.

 

4. Payment Gateway Charges


All refunds will incur a 2.5% payment gateway charge and 5% GST, unless the payment was made via UPI. 

 

Rules Applicable for Cancellations/Changes by Byko Journeys

 

We reserve the right to cancel or change any trip due to unforeseen circumstances. This includes but is not limited to:

● Natural calamities
● Government regulations
● Minimum group size not met
● Operational challenges

In such cases:

● We’ll offer a travel voucher for the full amount, valid for 1 year.
● No cash refunds will be provided.
● If the trip is postponed or shifted to a new date, your spot will be moved automatically unless you request otherwise. 

 

Force Majeure Policy

 

Events such as natural disasters, landslides, heavy snowfall, political unrest, pandemics, or any unforeseeable act of God are beyond our control.

In such cases:

● We will not offer refunds.
● We will issue full trip credit to be used for a future trip.
● Any extra expense due to rerouting, additional stays, or transport will be borne by the participant.

 

If You Drop Out Midway During the Trip


● No refunds will be given for unused services.
● Any unplanned arrangements for early return will be chargeable on actuals.
● We reserve the right to decline in-trip dropouts if safe or feasible arrangements can’t be made.

 

Code of Conduct & Community Ethics

 

Byko Journeys is a community-driven brand. We have a zero-tolerance policy towards:

● Abusive behavior
● Misuse of social media to defame the community
● Threats or foul language toward team members

In such cases, we reserve the right to cancel the booking without any refund and deny future bookings.
